Tate are currently recruiting for an organised, proactive and detail-focused Office Coordinator to support our clients Cityclean Operations teams. This is an exciting opportunity to play a key role in ensuring the smooth running of essential waste collection and street cleansing services that support communities across the city.
Working closely with operational managers, drivers and stakeholders across the business, you'll provide high-quality administrative and business support while helping to drive compliance, service improvements and operational efficiency.
The Role
As Office Coordinator, you'll be responsible for delivering a broad range of administrative, compliance and operational support activities. No two days will be the same as you help coordinate processes, maintain critical records and support operational teams in delivering an effective service.
Key responsibilities include:
- Managing accident and incident reporting processes and supporting insurance investigations.
- Monitoring driver compliance, licence checks and driver hours records.
- Producing detailed reports and maintaining operational databases and documentation.
- Coordinating driver training records and supporting O Licence compliance requirements.
- Supporting operational communications and service updates across multiple stakeholders.
- Processing invoices, purchase orders and financial documentation.
- Assisting with payroll administration and responding to payroll queries.
- Supporting sickness management processes and ensuring accurate record keeping.
- Contributing to service improvement projects and helping improve operational performance.
- Maintaining document control systems and ensuring GDPR compliance.
About You
Essential Requirements
- GCSEs (or equivalent) in English and Mathematics, or relevant experience.
- Previous office administration experience within a busy, complex or operational environment.
- Experience managing multiple priorities and working to deadlines.
- Strong experience using Microsoft Office applications and databases.
- Excellent organisational and time management skills.
- Strong communication skills with the ability to build effective relationships with a wide range of stakeholders.
- Experience maintaining accurate records and handling sensitive information confidentially.
- Experience producing reports and analysing data.
- Experience processing invoices and working with financial systems.
Desirable
- Experience within fleet, transport, logistics, waste management or operational services.
- Knowledge of driver hours regulations and tachograph requirements, or the willingness to learn.
