Tate are working with an organisation that works to protect, champion and support England's historic environment, in their search for a part time Facilities Assistant. You will support the day-to-day delivery of facilities management services at the York office. This is a varied, hands-on role where you will help ensure the site is safe, clean, secure, well-stocked, well-presented and comfortable for everyone who uses it.

You will act as a key point of contact for colleagues, tenants, visitors and contractors, helping to resolve issues quickly and professionally while escalating matters where needed. The role would suit someone who is organised, approachable, practical and confident working with a range of people.

Key responsibilities

  • Carry out regular daily checks to ensure office spaces are clean, safe, secure, well-presented and fully stocked.
  • Provide reception and switchboard support, welcoming visitors and responding to enquiries professionally.
  • Administer meeting room bookings and ensure rooms are tidy, equipped and ready for use.
  • Sort and distribute incoming post, process outgoing post and arrange couriers when required.
  • Identify and report maintenance issues, liaising with colleagues, tenants and contractors as appropriate.
  • Support planned maintenance activity, ensuring works are carried out safely and in line with agreed procedures.
  • Issue security passes and keys in line with site protocols.
  • Carry out site inductions for new colleagues, tenants and contractors.
  • Support health and safety activity, including routine checks, incident reporting and emergency response arrangements.
  • Help maintain accurate procedure manuals and facilities records.
  • Provide excellent customer service and respond promptly to reasonable requests from colleagues.

About you

  • Experience in facilities management, customer service, reception, administration or a similar site-support role.
  • Confident communicating with a wide range of stakeholders, including colleagues, visitors, tenants and contractors.
  • Highly organised, with the ability to prioritise tasks and keep essential services running smoothly.
  • Competent using IT packages, including Microsoft Word and Excel.
  • A positive, flexible and proactive approach to work.
  • Willingness to undertake relevant training, such as First Aid, Fire Warden, contractor management and health and safety training.
  • Good attention to detail and a practical, solutions-focused approach.
