Accounts Assistant - Invoice & Funding

Potters Bar, EN6 | Hybrid Working | 34 hour week | £26,661 per annum (15.08 per hour)

We're looking for an Accounts Assistant to join a busy team in Potters Bar. This isn't just a data-entry accounts role. You'll be responsible for checking invoices against agreed care plans and funding, identifying discrepancies and making sure the right amounts are being approved for payment.

We'd particularly like to hear from you if you have experience in:

  • Care, domiciliary care, healthcare or a care agency environment, particularly where you've dealt with carer or agency invoices
  • Accounts payable or finance administration involving high volumes of invoices
  • Checking invoices against budgets, agreed funding, purchase information or authorised spend
  • Identifying discrepancies and confidently investigating why figures don't match
  • Using Excel regularly to manage, check or reconcile financial information

You don't necessarily need to come from a traditional accounting background. If you've worked within care administration and have responsibility for checking agency invoices, hours, rates, funding or budgets, your experience could be highly relevant.

What will you be doing?

You'll be responsible for checking and approving invoices, referring back to care plans and checking for changes such as additional hours, cancelled visits and bank holidays. You'll compare invoices against agreed funding and client contributions and investigate discrepancies directly with agencies or self-employed carers.

You'll also help with:

  • Setting up new agencies, carers and reimbursements, ensuring the correct documentation is in place
  • Chasing outstanding information where needed
  • Responding to accounts queries by email and telephone
  • Liaising with the credit controller and account managers where there are funding or invoice queries
  • Checking and processing insurance documentation and payments
  • Making sure invoice records and folders are accurate and up to date.

Who we're looking for

You'll need to be:

  • Very comfortable with Excel and working with numbers
  • Accurate, methodical and naturally inclined to spot discrepancies
  • Confident questioning an invoice or investigating a mismatch
  • Comfortable communicating with agencies, carers, clients and colleagues
  • Organised enough to manage a busy workload and multiple queries
  • Confident learning and working with an in-house finance system
  • Happy working under the watchful eye of the office dog, Teddy!

Location & hybrid working

The office is based in Potters Bar, EN6, with hybrid working available.

Location is important. You'll need to live within a sensible, affordable commute of Potters Bar and be able to attend the office when required. If you're based around Potters Bar, Borehamwood, Barnet, Enfield, Hatfield, Welwyn Garden City or surrounding areas, this could be particularly accessible.

If your experience sits somewhere between accounts, invoice processing, care administration and budget/funding reconciliation, we'd really like to hear from you.

Relevant backgrounds/titles could include:
