Temp Administrative Support - ASAP- April 2026

Location: Horsham

About the Role

In this role, you'll provide timely, effective, and accurate administrative assistance to ensure the smooth delivery of scheduled and ad hoc work functions across the account.

You'll play a key part in maintaining data integrity, supporting business systems, and ensuring all administrative deliverables are met in line with company values and standards of excellence.

Key Responsibilities

  • Provide general administrative support across the Account.
  • Maintain a high level of input accuracy to ensure data integrity.
  • Manage and update aspects of the SmartSheet system to support business functionality.
  • Support the onboarding and offboarding process for new starters and leavers, ensuring FieldGlass is updated in line with SOPs.
  • Oversee absence capture and reporting, including return-to-work (RTW) documentation.
  • Attend training sessions or complete self-taught modules to stay up to date with system applications.
  • Assist in training and supporting other system users.
  • Respond to internal and external client queries promptly and professionally, ensuring excellent customer satisfaction.
  • Coordinate overtime approvals to ensure timely authorisation and payment.
  • Carry out general office duties including stationery stock control, workwear and PPE ordering, ad hoc report preparation, filing and archiving, and key management.
  • Oversee pool vehicle management across the account.
  • Compile spreadsheets and reports in Word or Excel for non-standard reporting requirements.
  • Contribute to team objectives, sharing knowledge and supporting colleagues to achieve common goals.
  • Take initiative to improve processes and systems, ensuring efficiency and alignment with corporate standards.
  • Maintain focus on delivering excellent customer service and upholding EMCOR's values.
  • Actively support EMCOR's commitment to continuous improvement, including Workplace Health & Safety, Quality Assurance, and Environmental standards.

Candidate Profile

We're looking for a professional who can demonstrate:

  • Proven ability to deliver high-quality administrative support, with strong systems and process management skills.
  • Excellent interpersonal and communication abilities, both written and verbal.
  • A collaborative approach, with the ability to work effectively within a team environment.
  • Strong organisational and time management skills, with the ability to balance multiple priorities and meet tight deadlines.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Publisher), email, internet, and database systems.
  • Sound understanding of financial and confidentiality principles.
  • Awareness and understanding of Workplace Health & Safety (WH&S) practices and policies.
  • A proactive and solution-focused mindset, with attention to detail and accuracy.
  • Ability to use company pool vehicles and equipment where required.
