Legal Secretary Winchester Salary range £25/30k (DOE)

We are seeking two Legal Secretaries for the Commercial Conveyancing team within this prestigious Law Firm in Winchester. We can consider different levels of legal experience for these roles. The role is based in central Winchester.

Job Purpose

Join a dynamic team and assist a leading fee earner in managing their caseload efficiently and effectively.

Job Duties

As a vital member of the Commercial Conveyancing team, you'll support a Senior Solicitor and Legal Executive with essential administrative and minor fee-earning tasks. Your key responsibilities will include:

  • Client Interaction: Be the friendly and professional first point of contact for clients, both in person and on the phone, taking messages and helping as needed.
  • File Management: Manage the opening, closing, and archiving of files with meticulous attention to detail.
  • Paperwork Assistance: Support the completion process by handling necessary paperwork efficiently.
  • Document Production: Accurately produce correspondence and documentation through digital dictation.
  • Accounts: Handle accounts paperwork with precision.
  • General Administration: Perform a variety of tasks including photocopying, scanning, faxing, printing, and filing.
  • File Closure: Ensure proper file closure activities, including appropriate action on balances and issuing client confirmations.
  • Correspondence: Draft letters and emails for clients and external organisations.
  • Mail Preparation: Prepare and dispatch mail and enclosures.
  • Quotes: Provide accurate quotes to prospective clients.
  • Secretarial Duties: Book appointments and rooms, issue client care letters via email or post, and manage telephone messages.
  • Typing: Perform audio and copy typing of letters, forms, and documents with speed and accuracy.
  • IT Proficiency: Utilise Microsoft Word, Excel, and ideally PowerPoint with confidence.

Required Skills and Experience

  • Audio Typing: Fast and accurate audio typing skills.
  • Conveyancing Experience: Prior experience working in conveyancing is essential.
  • Case Management: Familiarity with case management systems.
  • Technical Proficiency: Competent user of Word, Outlook, and Excel.
  • Communication Skills: Excellent written and verbal communication skills.
  • Interpersonal Skills: Strong interpersonal skills for effective telephone and face-to-face interactions.
  • Organisational Skills: Exceptional organisational skills with the ability to manage time, meet deadlines, and prioritise tasks.
  • Typing Accuracy: High level of accuracy in typing.
  • Team Collaboration: Ability to work effectively as part of a team and communicate clearly with colleagues.
