
Payroll Specialist

Our client has been established for over 25 years and is a distributor and reseller of marine fuel. The client operates on global scale and has a network of offices and operations in the busiest ports in the world.
They are urgently recruiting for a Payroll Specialist to join them on a full time permanent basis. The Payroll Specialist will work with the company HR and Finance teams, external payroll providers and employees throughout the company to ensure the accurate coordination and administration and management of the monthly payroll process for 19 international offices.
Duties include:
- Compiling, and submitting monthly changes for each location's payroll to outsourced payroll providers and ensuring deadlines are met, and relevant approvals or authorisations obtained
- Checking all preliminary and final payroll reports from outsourced providers for accuracy, and query any errors or omissions with the providers
- Owning and manage the monthly and annual payroll cycle calendar for all locations and keep the HR team updated with upcoming processes and any amendments to the payroll as required
- Checking calculations made by the payroll provider and/or request further breakdowns and explanations where required
- Holding regular and adhoc review meetings with payroll providers to ensure continual dialogue regarding service level
- Leading investigation processes with the payroll provider into issues / discrepancies that may arise,
- Coordinating registration/deregistration paperwork for new starters and leavers in each jurisdiction in accordance with local regulatory requirements
- Coordinating with internal Finance department contacts for fund transfers for payroll processing in each jurisdiction including payments for tax, social security, pension
- Using HRIS (Cascade) to access employee data as required e.g. holiday data for submitting to payroll providers as required in certain jurisdictions
- Flagging to HR team members any upcoming fixed term contract expiration dates or expiry of timebound payroll elements to ensure any changes can be actioned
- Checking monthly invoices from payroll providers against headcount records and any adhoc costs incurred, and query any errors with the providers
- Creating MI for the HoHR when required including cost analysis of teams and locations
- Supporting with the compensation round from a payroll perspective
- Providing regular and adhoc reports of payroll data to HR or Finance colleagues as requested
To be considered you must possess the following skills and experience:
- Highly organised with strong time management and prioritisation skills
- Strong numeric skills
- Proficiency with Microsoft Office suite (particularly Excel)
- Ambitious, self-motivated and demonstrating a willingness to continually develop own knowledge and skills
- High degree of discretion and confidentiality relating to sensitive payroll data
- Demonstrates high level of flexibility to adapt to changing priorities or short-notice requests
- Bachelor's degree or equivalent,
