Salary: £45,000 - £55,000 DOE

Location: Working from home with one day per week in the office

My client, a leading global Executive Search firm are seeking a proactive and results driven Project Coordinator/EA to support a small and successful team of consultants and partners. In this client facing role, you will support the team on executive search projects, where you will be required to build relationships with various stakeholders from the initial stages of a search process through to execution. This role requires a high level of accountability and diplomacy and your role will be pivotal to the success of the teams' projects.

If you are an experienced Project Coordinator/EA/Professional Assistant with exceptional communication and organisational skills, this will be an excellent opportunity to work for a global firm whose client base include some of the world's most successful Private and Growth equity firms whilst putting their employees at the forefront of their business.

Key duties will include but not be limited to;

Project coordinator responsibilities.

  • Setting up meetings internationally and locally between clients and candidates.
  • Managing the start up and close down of each individual project.
  • Ensure all details of all stakeholders are up to date.
  • Manage all travel and logistics to facilitate meetings going ahead.
  • Manage multiple diaries, internally and externally.
  • Keep up to date on project progress, ensuring status changes are made.
  • Participation in 'ad hoc' additional projects as required.

Partner EA Responsibilities;

  • Manage the partners schedule to ensure that they meet their client, BD and Internal objectives
  • Manage all communication with clients and other team members - inbound and outbound.
  • Look after any travel arrangements, domestic and international
  • Process expenses in a timely fashion and proactively chase up missing receipts/data.
  • Produce BD materials and keep all relevant records up to date.
  • Manage all database and technology data input.
  • Proactively deal with issues as they arise.

General/Office Management Responsibilities;

  • Meeting and greeting visitors and looking after clients interviewing from the company office
  • Gatekeeping/Filtering calls including dealing with new business and candidate enquiries appropriately.
  • Manage the meeting room booking system
  • Cover the Project Coordinators during holiday periods
  • Maintain a supplier contract schedule and negotiate contract renewals
  • Research and put forward proposals for new suppliers
  • Liaise with the building management company to resolve visitor and staff issues.
  • Onboard new joiners and host inductions/training (training provided)
  • Maintain holiday planner
  • Track and celebrate birthdays, work anniversaries and other successes
