Role Summary:

  • Provide effective administrative support to the team including maintaining personnel records, updating databases and managing documents
  • Act as the first line support for all internal and external customers by providing excellent customer service. Answering queries and directing to others as appropriate
  • To produce, issue and monitor all new starter paperwork and contracts of employment ensuring all documentation is issued in a timely manner, recorded on the database, Single Central Record and liaised with the payroll team to meet the pay deadlines. Ensure all pre-employment checks are completed, escalated as needed.

Main duties:

  • To actively support the full recruitment and selection process, including but not limited to: preparing shortlisting packs, sending interview invitations, creating interview packs, obtaining Right to Work documents
  • Maintenance of the Database to include the following: employment changes, part time working patterns, bank holiday calculations, creation of new holiday years, training completion records and qualification records, etc.
  • To administer the leaver process, including calculating outstanding/owed holiday pay, acknowledging resignations, track exit questionnaires, updating systems and payroll
  • Answer queries within the shared inboxes in-line with the agreed timeframes
  • Ensure all filing is kept up to date on a monthly basis and undertake regular auditing of personal files
  • To ensure the confidentiality and integrity of all employee information, records, systems and procedures in accordance
  • To undertake minutes of sensitive meetings as and when required
  • To provide general administration support to team members as needed
  • Contribute to departmental projects, initiatives and events
  • Understand personal responsibility to adhere to relevant policies and procedures as they relate to safeguarding and
  • Carry out all duties with due regard to Health and Safety Regulations
  • Ensure compliance with the Financial Regulations

  • Carry out other duties as may reasonably be required from time to time
