Administrator- Fleet - 12-Month Contract

Our client based on the outskirts of Southampton are currently looking to recruit a Fleet Administrator to join their friendly team initially on a 12-month contract. The role will assist with the smooth and efficient running of the fleet administration office and is a varied role which would suit someone with good communication skills who is highly organised and efficient with excellent attention to detail and who is able to commit to a 12-month contract.

Role: Fleet Administrator (12mth contract) Where: Southampton outskirts Salary: To £23,000pa

Responsibilities will include:

  • Maintaining records relating to availability, repair and service history, status updates, maintenance and repair schedules of all vehicles using the appropriate record keeping methods - job cards, vehicle records, databases and spreadsheets
  • Obtaining order numbers from leasing companies, as appropriate before work commences and update lease companies with accurate costs and details of repairs completed in a timely manner
  • Acting as a first point of contact for telephone and/or email enquiries
  • Ensuring all fleet office equipment is maintained in functional order
  • Assisting with the filing and recording of service records pertaining to vehicle MOTs, Tail-lift Certificates, annual service agreements for equipment held on vehicles - within the remit of the responsibilities of the Fleet Department, to ensure records are maintained accurately
  • Administration tasks associated with fuel cards, hire cars, penalty fines and RFLs
  • General administrative assistance within the department

You will need:

  • Good communication skills both written and verbal
  • Excellent time management skills with the ability wo work under pressure
  • The ability to multi-task whilst maintaining high levels of accuracy
  • To be methodical
  • The ability to work as part of a team
  • A flexible and proactive approach to work with a 'can do' attitude
  • Previous experience of fleet administration/ records management would be an advantage
  • Confident IT skills including MS Office and experience of working with databases
