Service Coordinator

Key Tasks:

  • Coordinate and book planned maintenance work and call outs
  • Be first point of contact for service clients via phone and email
  • Organise day to day operations of service department

Main duties and responsibilities:

  • Programming and booking planned maintenance visits with clients
  • Organising the engineering team for maximum productivity and efficiency
  • Keeping service diary up to date on internal system and white boards
  • Reviewing and planning any return/no access visits for both planned maintenance and call outs
  • Processing client requests for calls outs, including scheduling engineers, liaising with clients and entering orders on internal system.
  • Organising access including keys
  • Responding to telephone and email enquiries in a professional manner
  • Ensuring all scheduled works have the correct and complete paperwork
  • Processing engineer's timesheets and updating paperwork bonus spreadsheets
  • Sending schedules to engineer's PDA's weekly and confirming they have all necessary information and equipment for planned works
  • Updating call out rota and informing all relevant staff

Key Experience and skills:

  • Scheduling jobs and prioritising workload - being able to reschedule works to meet client requirements and emergency call outs
  • Good organisation
  • Computer literate and experienced in Microsoft Office
  • Good verbal and written communication skills
  • Accuracy and attention to detail
  • Punctual and professional
  • Excellent customer service
  • Ability to work as part of a team
  • Work well under pressure
