Admin Assistant - Central Southampton Role Summary
The role has two main elements. As Personal Assistant (PA) to the MD, the Admin Assistant shall be responsible for helping to manage the MDs calendar to ensure he has adequate time to carry out all of his commitments.
The PA shall also anticipate the MDs needs and make sure he has the paperwork and any other resources necessary for him to attend meetings and receive visitors. This role will require the PA to arrange meetings, make contact with Clients and Colleagues and send emails on the MDs behalf.
The PA shall provide support to the other Directors when requested.
As Admin Assistant, responsibilities shall be concerned with front of house duties such as reception area housekeeping, sorting post and receiving visitors. The Admin Assistant role shall also include the production of project documents for the Design Engineering teams. This shall form the majority of the working day. Role Specific Requirements:PA to MD (plus occasional PA to the Directors)
· Manage MDs calendar as instructed;· Anticipate the MDs needs based on his calendared activities and instructions and assist with any preparation;· Prompt the MD with reminders based on his calendar and instructions;· Correspond with Clients and Colleagues as required;· Take and relay messages, and carry out any follow-up actions;· Attend meetings and take minutes as required. · Maintain clean and tidy front of house areas (including visitor restrooms) and meeting rooms;· Carry out resource replenishment and housekeeping in reception/Admin team;· Receive and distribute post;· Maintain adequate stationery resources;· Maintain other office consumables.Project Admin (AA)
· Carry out project typing and oversea booking-in book;· Attend MMM, take minutes and distribute.Client List (PA)
· Maintain an up-to-date CRM system that can be sorted as instructed;· Arrange and attend Client review meetings and take minutes;· Calendar any actions for the MD from meetings as necessary, including arranging lunch appointments/golf events;· Distribute information to attendees for networking activitiesIf this position is of interest please do not hesitate to press the apply button below.
