Customer Service Associate Purpose of RoleTo support your customers and introducers, and to contribute to an excellent working environment by constantly demonstrating the behaviours defined within our INSPIRE values.To provide and deliver a market leading customer support service to both internal and external customers including Introducers, end users and third parties.Handle all in-life queries whilst focusing on quality and exceeding the expectations of our customersIt is expected that in discharging the accountabilities described below the post holder will consult with and gain the support of the key stakeholders, in particular:· Team Manager - Customer Services· Head of Operations· Financial Solutions Manager· Senior Payouts ManagerIn carrying out the responsibilities of the role, the post holder will work with (or have significant contact with):· Own team· Other Departments· Sales· Introducers, Suppliers and end user CustomersKey Performance Objectives & Deliverables· Ensure we send customer welcome packs within agreed KPIS · Sending HPI Daily Extract· Sending Experian Car Data· Setting up Self billed Maintenance Contracts· Chasing Lease Disposal forms· Investigating gone away post· Issuing Direct Debit Mandates· Issuing Statement of Account· Day End Reporting· CCA Statements· Issuing copies of Invoices, documents and statements· Issuing copies of Self billing commission invoices· Checking Arrears Letters before they go out· Dealing with Unpaid cheques· Drawing up Novation Paperwork· Drawing up Substitution paperwork· Handling customer queries effectively, including incoming telephone calls and correspondence.· Providing support and backup for the Customer Support team when required.· Opening inbound post for Business Finance· Logging Original documents on ALFA· Checking original documentation to ensure it is identical to the copies we have paid out against· All unmatched invoices to be logged and returned to the supplier if unmatched for a certain time· To ensure all paperwork for Customer Services in scanned onto the system· Looking after admin duties for Customer Services team· System admin duties for Customer Services Team· Other · To undertake any other duties as specified from time to time in accordance with business requirements.· Ensure compliance with all relevant legislation and specifically that which relates to Data Protection, Money Laundering and Treating the Customer Fairly (TCF) and attend update training as may be required from time to time.· Carrying out and be fully aware of actions as are required to meet the requirements of the framework including attendance at any relevant management and committee meetings.· Operate within defined policies, processes and controls and delegated authorities.
