My client based in the City are looking for an HR Administrator to join their London team. My client is an internationally renowned firm of European and United Kingdom patent, trade mark and design attorneys. They have a team of over 50 professionals based in London and Cambridge, covering a wide range of technical disciplines. The successful candidate will be required to work across all areas of the business, contributing to the efficient operation of the HR & Facilities Department.

-Undertake administrative and compliance duties required for the smooth running of the HR function and compliance with the firms policies.-Ensure that all relevant systems are updated on a daily / ongoing basis.-Collate confidential information for reporting.-Create regular reports and presentations on HR metrics (e.g. turnover rates) -Provide assistance with monthly payroll process and provide cover in the absence of the HR & Payroll administrator.-Assist the HR & Payroll administrator by providing relevant employee information (e.g. leaves of absence, sick days and change to working hours / schedules)-Assist with the co-ordination of the annual graduate recruitment programme.-Participate in HR projects (e.g. help organise job fair events)-Support various projects as and when required.-Assist with the collection of identification verification, proof of address and legal right to work documents.-Updates job knowledge by participating in educational opportunities; reading professional publications.

Administration: Main administrative duties include maintaining personnel records, managing HR documents (e.g. employment records and on-boarding guides) and updating internal databases.

-Assist with actions to streamline and adapt HR processes to comply with current and further changes in legislation.-Maintain relevant electronic and manual filing systems for confidential and sensitive information.-Ensuring personnel files are current and up to date, removing data not required to keep and organising files into sections in line with firm policies.-Creating and maintaining a programme with dates for regular checking and re-cleansing.-Cleansing recruitment databases and CV folder of old and out of date information.-Maintain accurate recruitment records.-Act as point of contact for personal data enquiries, then research solutions with guidance from HR Team.Systems used:-Records System: Simply Personnel-Microsoft Office (Word, Excel, PowerPoint)-Payroll System: SDWorx-E-mail system: OutlookPerson Specification:-Detail-oriented and highly organised.-Must be confident, efficient and practical.-A flexible and adaptable approach to changing situations and workload-Be strongly customer focused, team orientated, yet able to work independently-A high level of confidentialityPersonal Attributes Associated with This Role: -Accurate / Compassionate/ Cooperative / Diplomatic / Patient / Trustworthy / Approachable / Open-minded / Positive/ Calm / Confident / Respectful / Self-Motivated / Empathetic

Essential for the role:

-Minimum of GCSEs in English and Maths-Two years previous experience of working within an HR environment-Strong administration skills -Excellent interpersonal skills-Pro-active-Good communication skills-Ability to prioritise -Good time management skills-Familiarity with business software - working knowledge of Microsoft product
