PA to Chief Financial Officer & MD Financial Services London based
My client is a leading provider in estate agency, lettings, mortgage services, land and new homes, auctions, surveying, conveyancing and property management. This is a great opportunity to work for a renowned company who are leaders in their field. They have strong business values and a real focus is put on understanding customer and client needs. They are looking for a PA to the Chief Financial Officer and the Managing Director of Financial Services.
You will be providing a high level of proactive PA and business management support. Additionally you will oversee and manage the front of house reception team which consists of a reception manager and a receptionist.
There will also be an element of ad-hoc travel to different offices in the UK.
You will demonstrate a breadth of exceptional PA experience, ideally finance related, and bring a real curiosity and interest to be able to develop and grow within this role.
With excellent organisation, prioritisation and time management skills, you will have a strong attention to detail and the ability to work proactively and confidently with all levels in an organisation.
An excellent communicator, you inspire confidence with your direct manager and colleagues alike. You will have also ideally coordinated other PA / admin support and recognise how to create an effective schedule of cover for a wider office.
High proficiency in all key software packages e.g. Word, Excel, PowerPoint and confident with all aspects Microsoft Outlook (or similar email system) is essential.
Duties include but are not limited to: -Proactive diary management -Effective e-mail management -Comprehensive and proactive business support; managing, prioritising and undertaking diverse activities in a positive and flexible way, e.g. arranging travel plans, managing calls, setting up / coordinating meetings / conferences, dealing with general queries and correspondence. -Coordinating and preparing for Board Meetings, Committee Meetings and other relevant key meetings and events. -Timely and accurate production of minutes. -Acting as an ambassador for the Chief Financial Officer and MD Financial Services, being a role model for the company's values, building strong and effective working relationships with all internal and external stakeholders and colleagues. -Creation and management of key reports and processes; collating appropriate information and creating agreed reports / summaries supporting areas such as budget management, invoice payment, reporting etc. -Leadership team co-ordination; acting as an integral part of the Finance and Financial Services leadership team; providing support to the team, leading on agreed projects, operational and performance reviews ensuring their time and their teams is used effectively. -Undertake ad-hoc and/or specific projects, informing on relevant topics, being a proactive source of help to the team and keeping activity on track. -Managing and supporting the London front of house reception team, ensuring all visitors receive a high level and responsive customer experience and the wider office needs are met.
