My client an exciting and industry changing, professional services consultancy based in the heart of Mayfair are looking for a Personal Assistant to support two of their partners, including one of the company's founding Partners. Both of the partners have a demanding schedule, so they are looking for a candidate who is experience managing multiple diaries and extensive travel arrangement. This role is highly exciting for an ambitious candidate who is looking to be a part of a fast growing company with high exposure. They are looking for a candidate from a professional services background, the role is paying between £30,000-£35,000 and the ideal candidate will be ideally available immediately.

Job Spec/ Duties

  • Extensive inbox and diary management
  • Organising and managing calendars and meetings
  • Anticipating and resolving scheduling conflicts as they arise and prioritising issues to ensure an effective time management approach, always staying one step ahead of the game
  • Complex travel arrangements
  • Creation of PowerPoint presentations
  • Client outreach/assisting with business development and research to organise and facilitate new business meetings
  • Proactive support to Partners in advance of meetings with potential clients - e.g. researching companies and individuals, producing briefing packs to ensure Partner is prepared prior to a discussion with a new client and creating tailored introduction presentations
  • Support to Partners with the pitch process, shepherd and assist with proposal preparation and finalisation (slide production, proof-reading), co-ordinate internal discussions with Partners, Consultant team and consultants
  • Support Partners and consultants during cycle of project (e.g. co-ordinating steering group reviews with clients and internal prep meetings as project progresses, help with document production, key contact for EM consultant team, manage use of third party suppliers and experts, manage ShareFile, co-ordinate the feedback and debrief process at project end with clients and consultants
  • Process Partner monthly expenses
  • Co-ordinate mail-outs to Partner client and networking events and distribution of marketing communications
  • Filing and archiving of documentation, ensuring company CRM database has the most accurate and up-to-date detailed data on all projects, clients, consultants and relevant contacts
  • Providing support to other assistants in the team and other Partners as and when required (including covering for other assistant's absence/ holiday)

Ideal Personal Profile

A highly organised self-starter with a keen eye for detail, who takes ownership of the task at hand in an environment where they will sometimes get limited direction. Successful candidates will be strong team players who are able to work collaboratively in a fast-paced environment with many stakeholders. The individual will also demonstrate:

  • Confidence supporting a Partner who may be out of the office for extended periods
  • An ability to deal professionally with a variety of people and personalities
  • Flexibility and a keenness to support their Partner and other members of the assistant team
  • A proven track record of building positive relationships and working as part of a team
  • Exposure to/ experience of a client driven role, preferably in a professional services firm
  • Drive and initiative to support their Partner in business development efforts
  • Calm under pressure, ability to thrive in a busy role with a happy can-do mind-set
  • Strong organisation and time-management skills
  • Flexibility and adaptability in the face of ever changing schedules and priorities
  • Ability to follow through to completion all tasks
  • A mature, positive and professional approach. Comfortable dealing with senior professionals but with a sense of humour!

  • Happy to cover some personal tasks during busy periods

Benefits and Additional Information

  • Hours/ days: 09.00-18.00 (with an hour for lunch) 5 days/ week

  • Holiday: 25 days per year (which includes the closed period between Christmas & New Year)
