An incredibly reputable and prestigious Financial Services organisation is currently seeking an Office / Facilities Manager to join their London team. Located in beautiful offices in the heart of Mayfair this is a superb opportunity for a Facilities / Office Manager who can take responsibility for ensuring an efficient, proactive and smooth running of the Mayfair office. Paying between £30-£40K this role comes with wealth of benefits. This exciting role entails taking ownership for both the reception and facilities/building management. The incumbent will be a key member of the operations team, acting as the first point of contact for all facilities issues across the business. Duties will include:- Act as the first port of call for all staff facilities related enquiries and internal and external contractors, suppliers and building management on issues connected with security, fire and health and safety- Responsible for the project management, supervision and coordinating work of contractors (occasionally out of hours and at weekends) while ensuring minimum disruption to the business- Ensure that agreed work by contractors or suppliers is carried out satisfactorily and any errors are followed up on- Work with staff, contractors and suppliers to ensure that Health & Safety, security and any other legislative requirements are met (e.g. coordinating annual PAT testing across the UK locations, arranging appropriate training for fire wardens and first aid staff as well as maintaining emergency evacuation procedures)- Coordinate and plan essential central services work such as security (including building alarm management); maintenance of office premises (including redecoration as appropriate), management of cleaning companies and regular archiving procedures to ensure documents are safely and securely stored- Organise and oversee all annual facilities service checks such as risk assessments, fire extinguishers, water boilers etc.- Respond appropriately to emergencies and urgent issues as they arise - Manage building maintenance checks and recordsExperience required:- Experience of working in an office management/facility management role within a professional services environment is preferred - Experience of dealing with facilities management issues is essential- Demonstrable evidence of implementing solutions that are pragmatic, practical and add value to the businessSkills:- Reliable, robust and pragmatic in approach- Ability to work calmly under pressure and to multiple deadlines- Highly organised with strong attention to detail and a demonstrable ability to plan and prioritise effectively- Client focused with strong interpersonal and communication skills- A self-starter with an ability to respond to issues quickly and develop practical ideas for their resolution- A team player with strong influencing and relationship building ability- Good working knowledge of Word, Excel, PowerPoint and Outlook- Well presented and professional If you feel like this vacancy is suited to you, please apply by attaching your CV in Word format for an immediate interview
