Team Assistant, Retail

A successful, well known Retail Company, are seeking an energetic and enthusiastic Team Assistant to join their busy team.

This role requires someone who has excellent communication and organisational skills and the ability to build strong and collaborative relationships.

Key duties:

  • Being the go to person - managing emails, screening incoming telephone calls, dealing with emails (drafting suitable responses as required); and ensuring all issues are dealt with efficiently and in a timely manner
  • Preparation for meetings e.g. chase documentation and provide to relevant people
  • Printing and binding of presentations and documents for meetings
  • Complex diary management - coordination of meetings, events and other functions for the team and Director's
  • Organising UK and international travel and accommodation, as well as visas where needed
  • Scheduling recruitment interviews and recruitment/development assessments with internal and external hires. Liaising with candidates and those hiring
  • Dealing with confidential documents
  • Processing of expenses for the team, via Concur
  • Attendance at the bi-monthly PA meeting
  • Updating internal contact lists
  • Processing invoices for the HR team, by following company processes
  • Liaising with the Finance Team and Suppliers and answering any queries
  • Organisation of HR team meetings as required
  • Dealing with all incoming and outgoing correspondence, mail and couriers and drafting suitable responses as required
  • Liaising effectively with other departments, as and when required
  • Organising team social days
  • Managing the team holiday calendar
  • Other duties as requested by senior members of the team

Person Specification:

  • High attention to detail and accuracy
  • Strong communication and interpersonal skills
  • Excellent organisational skills - ability to manage a busy workload
  • Highly proactive, naturally thinking ahead, on short, mid and long term basis
  • Adaptable and assertive
  • Very discreet and trustworthy - able to deal with highly confidential information
  • Experience of working in a HR department is desirable, however not essential
  • Customer focused - confident in dealing with internal staff and also company clients
  • Experience of working in a fast paced environment and the ability to deal with interruptions from calls when working under pressure
  • Self motivated and energetic
  • Ability to build excellent relationships with different cultures
  • Excellent Microsoft office skills (Outlook, Word, Excel, PowerPoint)
  • An approachable team player
  • Must be passionate about keeping their team organised, effective and efficient
