Personal Assistant position within a leading architectural practise who are continually growing and challenging everything they do to offer an incredible experience to both clients and employees. This role is to support two partners and also provide support to a partners project team. The role is paying between £30,000 and £33,000 per annum and is situated in stunning offices in the City.
This role is to provide strong organisational and proactive support to both partners in order to keep on top of extremely busy diaries, email inboxes and travel plans. To act as a gatekeeper, screening and prioritising their workloads. Also responsible for keeping track of requests made to partners, ensuring all are actioned on time within deadline. To also assist partners with office initiatives.
You will also provide support to the partners project team, by organising project meetings on behalf of the team and making sure that all meeting rooms are booked and set up appropriately. You will assist the team with travel, visas and accommodation for national and international appointments. You will also assist with the archiving of project documentation, new starter and leaver processes, arrange training for new starters, help with couriers, printing and binding and cover a switchboard in the absence of a receptionist.
For the partners you will be in charge of effectively managing their diaries, meeting requests and gatekeeping where appropriate. You will organise all meetings and have regular contact with their clients, so an excellent customer service must be provided at all times as you will be representing the company and the partner alike. The inboxes are constantly busy, so you will take ownership of them both and screen, prioritise and action emails on behalf of the partners.
In regards to travel, you will identify upcoming visits and proactively secure suitable accommodation and arrangements, and also compile detailed itineraries for the meetings and events where necessary, and also make sure all visa needs are managed.
You will be confident in working in a fast paced environment where you will need to prioritise but thrive from the relationships you will build around the business. Co-ordination is key so if this sounds like you then we would love to hear from you!
The successful candidate will have:
- Previous PA experience
- Expertise in Microsoft Office (outlook/word/excel)
- Good communication skills
- Confidence
- Strong attention to detail
- The ability to multitask
- Be able to use initiative and work with little guidance
- Due to exposure to highly confidential Partner information, confidentiality and discretion is of the up most importance.
