We are recruiting for a great full time permanent position working within a school as an administrator. Hours for the role are 8am to 4pm Monday to Friday and the role is term time only + 4 weeks.
Summary of the Role:
The Administrative Assistant will join a team of three who provide administrative support to various members of the School Executive and play a vital role in the day to day running of the School. The Administrative Assistant will take on specific responsibilities as outlined below, as well as providing administrative support to two Assistant Heads, but will also be a member of the administrative team taking on duties as required to ensure the smooth running of the School Office and consequently a flexible approach is anticipated. An indication of the likely duties is detailed below.
Main Duties and Responsibilities:
1. General secretarial and administrative support to the Assistant Head
?Providing administrative support for the completion of the Staff Duty Rota, Front of House Duty Rota, Assemblies Rota and Fire Evacuation Assembly Plan and the Lockers data base on a termly basis.
?Working with the Assistant Head to ensure the publication of the daily Staff Cover List and helping to identify Room Changes where necessary.
?To take summary minutes Whole Staff Meeting and of the Monday morning staff briefing and publish these on Firefly.
?Entering calendar dates into the ISAMS calendar manager, as directed by the Assistant Head (AJB); attending the termly calendar meeting and keeping a record of changes and updating the calendar accordingly.
?Maintaining a calendar of House Events and producing a termly summary for House Staff.
?Maintaining and updating the House Championship points record spreadsheet and updating the electronic record on Firefly on a weekly basis.
?Work with the Assistant Head (AJB) to update the parent portal and notices to parents ready for publication to parents each Friday.
?Maintaining a record of the minutes of the various School Parent Interest Groups e.g. Hockey Society, Sherriff Club, PSA.
2. General secretarial and administrative support to the Assistant Head (ADL)
?Providing administrative support to the Assistant Head in preparation for Parents Evening events; creating the database for each parents meeting, communicating with parents, chasing appointment bookings, drawing up the teacher locations plan and allocating rooms with the Assistant Head, ensuring the distribution of relevant paperwork to the Assistant Head.
?Undertaking administrative support for the outreach programme and in particular the Masterclasses, providing accurate booking lists to the Assistant Head.
?Providing administrative support for the programme of lesson observation.
?Keeping a record of extension and enrichment activities which are undertaken,
?Providing administrative support to the smooth running of Internal Examinations including the collation and safe storage of Internal Exam Papers.
3. Pupil Data and Reports
Co-ordinate the pupil report process; correcting reports; printing and issuing reports.
4. Parent Data
Produce the annual data list for the Parents and Staff Association.
