Legal Secretary- Conveyancing - Permanent - Reading
A Legal Secretary is required to join a successful law firm within Reading. This role is to support 1 Partner and the Practise Manager. You will provide direct support and assistance primarily in the Residential conveyancing department. Alongside this, you will also be supporting other departments as and when required.
Secretarial & Administrative support to all fee earners to include, but not limited to:
· To prepare correspondence through audio-typing, copy typing and word processing;
· To retrieve outsourced typing, collate and finalise correspondence for issuing and saving into the case management system;
· To undertake relevant searches,
· To administer filing including daily filing; opening, closing and retrieval of client files
· Liaising with accounting staff in respect of related queries, invoicing, recording payments & receipts
· To deal whenever possible with routine client enquiries and direct & indirect communications including telephone calls, letters, emails and meeting clients (to support and enhance the clients experience with the firm)
· Diary management of fee earners as required
· Managing the above workloads in the absence of any other Legal Support Assistant
· Reception cover including dealing with the overflow telephone calls on a daily basis
· Ad hoc administrative tasks and projects as detailed by the Partners, Practice Manager or appropriate Fee Earner, relevant to a progressive law firm
Person Specification
Key skills and personal qualities to include:
· Ability to touch-type / to demonstrate typing speeds of at least 60 wpm
· Proven secretarial/administrative experience in legal or professional office
· Prior residential conveyancing experiencing or ability to demonstrate knowledge of the conveyancing process
· Personally efficient and well organised
· Ability to work under pressure and meet deadlines, completing high volume of workloads on a daily basis
· Ability to prioritise effectively and manage assigned tasks in an efficient and timely manner
· Ability to work as part of a team but also be able to work on own initiative
· To be able to accept constructive criticism
· Computer literate and be competent in the use of Microsoft Office applications
· Good verbal communication and telephone skills
· Attention to detail
