New Application Coordinator

Role summary:

To proactively manage new accreditation requests from start to finish, ensuring the client achieves their accreditation in the shortest time possible.

Liaise assessment team to ensure prompt completion of all activities within the assessment process through to the point of certification being awarded.

The scope of this role includes all forms of accreditation offered by, both for customers new to us and existing customers extending scope. This will be from the receipt of application through to close out of priority 1 and 2 issues raised on the assessments.


Key Tasks:

 Liaise with Legal department to issue contracts and IP licences

 Liaise with ATO and assessment team to schedule the required assessments

 Coordinate certification of all 3 elements in order to sign off the ATO

 Issue certificate/plaque (where applicable)

 Ensure completion of outstanding P1 and P2 issues within agreed timelines.

 Complete a weekly report to inform BDMs of status of applications

 Coordinate the assessments needed to move ATOs and Trainers from Interim accreditation to first accreditation.

 Archive applications not progressed after 3 months in accordance with Quality Policy

 Process daughter office applications

 Process Affiliate applications

 Process Invigilator applications

General Tasks

  • Assist and help team members on request to ensure team objectives are met

  • Promptly file and manage all documentation in relation to work in accordance with policy

  • Complete regular and ad-hoc reporting to agreed deadline

  • Participate in meetings and projects (ad-hoc)

  • Good knowledge of the QMS documentation


 Minimum 2 years administration experience

 Develops good working relationship with customer; listens to understand requirements & gain insight.

 Deals with customer issues in a timely and professional manner.

 Demonstrates flexibility within normal working practice to meet special customer requests.
