Our client based in Guildford is seeking an experienced Secretary.
Supervisory responsibility for the secretary will rest with the secretarial coordinator.
Your work will come directly from the secretarial coordinator and will be a general support to the secretarial team within the department.
The secretary will be highly motivated, display outstanding attention to detail and have the ability to multitask with ease.
It is essential that you will be a strong team player. This is an ideal opportunity for someone to commence their secretarial career.
All of the secretarial team have shared responsibilities and are expected to work as a team on a day to day basis.
Duties will include: · Urgent typing using digital dictation. · Copying and scanning documents. · Engrossing/binding/filing documents · Electronic and paper filing of outsourced typed work · Other ad hoc duties which may arise from time to time · Dealing with office post and answering phone calls · Keeping records and accounts · Transcribing and taking dictation · Working with the secretarial team, providing support to one another when necessary · Maintaining an effective filing system · Photocopying, binding and storing of documents · Updating contact details on the company database · Ensuring all incoming calls are answered quickly, taking clear and accurate messages when necessary · Managing and booking all outgoing post and couriers · Supporting the secretarial team with admin and document overflow · Covering diary management when required, including organising travel and accommodation and email correspondence · Other support services including taking minutes of meetings and initiating and replying to correspondence on routine matters Requirements · Ability to work within a fast-paced environment · Adaptable approach to heavy workload · Good written communication skills · Excellent Word, Excel and PowerPoint skills · Highly motivated · Positive attitude and desire to learn · Excellent written and verbal communication skills · Professional telephone manner and the ability to take messages effectively and efficiently
